Terms & Conditions

These terms govern the use of Ross & Associates Tax Office services, the client portal, the TaxesToGo mobile application, and all professional tax preparation engagements.

Scope of Services

Ross & Associates Tax Office provides individual and business tax preparation, IRS resolution support, bookkeeping, payroll, and advisory services. The scope of any specific engagement is defined at the time of intake and may include current-year, prior-year, unfiled, or amended return preparation.

Client Responsibilities

  • Provide accurate, complete, and timely information, including all income, deductions, dependents, and identity verification documents.
  • Review draft returns carefully before authorizing e-signature.
  • Maintain confidentiality of portal login credentials and report suspected unauthorized access promptly.
  • Respond to document and signature requests in a timely manner so deadlines are met.

Accuracy of Information Provided

Tax returns are prepared based on information you supply. We are not responsible for omitted, inaccurate, or fraudulent information. Final accuracy of the return depends on the completeness of the records you provide.

Electronic Communication Consent

By engaging our services you consent to receive communication via email, SMS, in-app notifications, and the client portal. You may revoke SMS consent at any time by replying STOP. Some service-related notices are essential to the engagement and cannot be opted out of while a return is in process.

Remote Filing Disclosures

We are authorized to prepare and electronically file federal returns and state returns in all 50 states. Remote intake, document upload, and e-signature are performed through secure, encrypted channels.

Refund & Estimate Disclaimers

  • Refund and balance-due estimates are projections based on current law and the information provided; final amounts are determined by the IRS and state agencies.
  • Refund timing is controlled by the IRS, state revenue departments, and any third-party bank product chosen, not by Ross & Associates Tax Office.
  • Approval of refund advance products is determined solely by the issuing bank.

Third-Party Bank Products

If you elect a refund transfer, advance, or similar product, your relationship for that product is with the issuing bank. We do not guarantee approval, funding speed, or final disbursement amount.

E-Signature Consent

You agree that electronic signatures (including those captured through the client portal or TaxesToGo app) are legally binding under the ESIGN Act and applicable state law, and have the same effect as a handwritten signature.

Portal & Account Use

The client portal is provided solely for authorized clients of Ross & Associates Tax Office. Accounts are personal and non-transferable. Unauthorized access, scraping, or attempts to bypass security controls are prohibited.

Appointments

Appointments may be scheduled by phone, through our booking link, or via the client portal. We ask that cancellations or reschedules occur at least 24 hours in advance so that we can offer the time to another client.

Payment Authorization

By engaging services or submitting payment information, you authorize Ross & Associates Tax Office (or its third-party processors and bank product partners) to charge applicable preparation, filing, and service fees. Fees may be deducted from refund proceeds where you elect a refund transfer.

Limitation of Liability

To the maximum extent permitted by law, our total liability for any claim arising from the engagement is limited to the fees paid for the specific service giving rise to the claim. We are not liable for IRS or state penalties resulting from information you did not disclose, for indirect or consequential damages, or for delays caused by government processing, banking systems, or technology outages outside our reasonable control.

Government Processing Delays

IRS and state agencies process returns and refunds on their own timelines. We have no control over these timelines, identity-verification holds, manual reviews, or audit selection.

Technology Interruption

While we maintain enterprise-grade infrastructure, occasional outages, maintenance windows, or third-party service interruptions may affect access to the portal or mobile app. We will work to restore service promptly.

Document Retention

We retain client records consistent with applicable IRS recordkeeping guidance (generally a minimum of three years and up to seven years for certain documents) and our internal retention schedule. You are also responsible for keeping copies of your filed returns and supporting documents.

Amendments to These Terms

We may update these terms periodically. Continued use of our services or portal after an update constitutes acceptance of the revised terms.

Service Refusal & Fraud Prevention

We reserve the right to decline, pause, or terminate any engagement where we suspect fraud, identity misrepresentation, or noncompliance with IRS due-diligence standards. Suspicious activity may be reported to appropriate authorities.
